What this page covers

This notice describes how the personal data of people who visit the site neoos.it and use the form «Let's book a call» is processed, under Regulation (EU) 2016/679 (the «GDPR») and the applicable Italian law. It covers only the data this site collects, not the neoOS product.

Last updated: 3 October 2026.

Data controller

AI Fabric S.r.l.

Via Lucrezio 13, 34134 Trieste (TS), Italy

VAT number 01398410322, REA TS-212276

Email: [email protected]

The Controller can be contacted for any request about the processing of personal data at [email protected]. No Data Protection Officer (DPO) has been appointed: for any privacy matter you can write directly to the Controller.

Data collected through the contact form

When you send the form we collect the data you give us voluntarily: your name, your company, your email and your message (optional). We also record the language of the page you wrote from and the date and time of the request.

To recognise automated messages the form measures how long passes from the first field you touch to sending, and has a hidden field that a person does not fill in. A request stopped by these checks is kept apart, with the reason and the measured times, so that a person stopped by mistake can be found.

Your IP address is not written into the request. The web server uses it to limit repeated sends from the same address and it may appear in its technical logs.

Purposes

We use this data to answer your request for a call, to get back to you about your question and to manage the business relationship that may follow. The checks against automated messages protect the form from abuse.

We do not use the data for automated marketing or for advertising, we do not pass it to third parties for promotional purposes and we do not send it to analytics services. After you send the form you receive a confirmation email at the address you gave.

Legal basis

The processing is based on the performance of pre-contractual measures taken at your request and on the Controller's legitimate interest in following up the requests received and in protecting the form from abuse (art. 6, par. 1, lett. b and f of the GDPR).

Retention period

In the site's database, requests are kept for 24 months from the day they were sent. An automatic job deletes the expired ones every day. The notification and confirmation emails generated by a request follow the retention stated in the section on who receives the data. Requests stopped by the checks against automated messages are kept for 30 days and then deleted.

If your request leads to a business relationship, the data needed to manage it is kept for the time needed to manage it and in any case no longer than the period the legal obligations require.

Browsing statistics

The site does not use analytics tools and does not measure visits, neither with tools of the Controller nor with tools of third parties.

Who receives the data, hosting and security

The request reaches the mailbox [email protected] by email, read by the AI Fabric team. We adopt appropriate technical and organisational measures to protect personal data from unauthorised access, loss or disclosure.

Providers of the mail and hosting service, location of the servers, the encrypted connection of the site, retention of the notification emails in the [email protected] mailbox and retention of the web server's technical logs: [to be completed]

As a data subject you can at any time exercise the following rights under Articles 15 to 22 of the GDPR:

the right of access to your personal data;

the right to rectification of inaccurate or incomplete data;

the right to erasure («right to be forgotten»);

the right to restriction of processing;

the right to object to processing;

the right to data portability;

the right to lodge a complaint with a supervisory authority.

To exercise these rights it is enough to write to [email protected]. We will reply as soon as possible and in any case within the terms set by law.

Complaint to the supervisory authority

If you believe the processing of your data breaches the law, you have the right to lodge a complaint with the Italian data protection authority, the Garante per la protezione dei dati personali (www.garanteprivacy.it).
